2023 SUPPORT SERVICES COMMITTEE POLICY

PLEASE BECOME FAMILIAR WITH

2023 NEW BIRTH 38 SUPPORT SERVICES POLICY 

Purpose - The original purpose of the Committee was to institute and carry out a process to collect funds from NB38 Line Sisters and to allocate funds to them  (via gift, card, etc.) when they experience  the loss of an immediate family member or celebrating a life event.

However, as time goes on, we’re all getting older and dealing with more frequent and serious personal health issues, while dealing with  the loss of family members, being family caregivers, or celebrating different life events. Therefore, it’s important we expand the scope of the committee to support and keep up with these life challenges.

Funding - Beginning January 2023, each NB38 Line Sister will be asked to contribute a minimum of $75 per year to the (NB38) Support Services Fund to keep up with these increasing events. This amount is due every January and will be submitted to the Treasurer via check, CashApp, PayPal, or Zelle. Should there be a sufficient balance in the fund at the beginning of the year, the amount of the required contribution may be adjusted by the NB38 Committee.

Reporting - the Treasurer will prepare an informal financial report each quarter that will be emailed to all Sorors. Also the report may be posted on the newbirth38.simplesite.com.

Family MemberAn immediate family member is defined as spouse, parent, child, sibling, grandparent, and grandchildren.

If a Line Sister has a significant other, legally they are not classified as a family member even though they may be important and provide well-being, especially like a spouse or one in a similar relationship

 

Death of a Family Member - When a NB38 family member dies the Committee will send the Line Sister a card and $100.  When a significant other dies, the Committee will send the Line Sister a card.

Death of NB38 Line Sister When a Line Sister dies, and upon notice to the Committee, the Committee will determine if the family wants a flower, plant, or donation.  At the family’s request, the flower/plant will be sent to the funeral home or the Line Sister’s home. The budget for this expenditure is $200. When a Line Sister dies and had a significant other that provided long term well-being, the Committee will send that person a card.

 

Death of an Alpha Gamma Soror who pledged us or was pledged by a NB38 Line Sister -  When an AG Soror that pledged the NB38 line dies, a card will be sent to the family.  When a Soror that NB38 pledged dies, a card will be sent to her family, too.  In the event the Dean or Adviser of the NB38 line dies the Committee will send the family a card and $50.

Hospitalization – when a NB38 Line Sister or her family member is hospitalized for 7 days or more, the Committee will send a card to the appropriate individual, either the Line Sister, the Line Sister’s spouse, significant other, children or parents, as deemed appropriate.

Wellness Check/Follow-up - When informed that a NB38 Line Sister is recuperating at home after surgery, a procedure or requires rehabilitation that affects her physical or mental ability, then the Committee will send her a card, a gift card for food or Bath and Body Works.  The Committee also encourages NB38 Line Sisters that live near the recovering Line Sister to arrange a home visit to provide encouragement and support.

Life Events – For a NB38 Line Sister or an AG Soror that pledged us, the committee will send a card and a contribution based on the following events: 

 

  1. Recipient of a prestigious award - $25
  2. Office or New position, New Job - $25
  3. Graduation - $25
  4. Special recognition - $25
  5. Marriage - $100
  6. Birthday - $25
  7. Birthday age 70 Milestone - $70
  8. Divorce - $25
  9. Moving - $25
  10. Retirement - $25
  11. Birth of Grand/Great Grandchild - $25

 

Special Circumstances - If it’s determined that a NB38 Line Sister is in need or makes a special request for additional emergency assistance, the Committee will contribute between$50-$100, if approved by the Committee.  The Line Sister will only be allowed one emergency request per year.

Notification - it is the responsibility of the NB38 Line Sisters to notify Cassandra, who will continue to be the initial point of contact when an event occurs. Cassandra will gather as much information on the event, share the event with the NB38 body, and then contact and forward that information to the NB38 Support Services Committee for follow up and processing.

It’s important that the Committee gets information in a timely manner so they can follow up with the NB38 Line Sister or Soror's family member on their need or request.

Cassandra will continue as the initial point of contact with the body;  a position she’s held for years.  She will inform the body of the event (deaths, illness, good news, etc.)  Cassandra will pass the information to the Committee for follow up and processing.

NOTE:  If a NB38 Line Sister has a close or special friendship with another NB38 Line Sister and wants to individually contribute more  to that Line Sister, beyond what the committee has provided, you are free to do so.  However, be clear that your contribution is separate from the NB38 policy.  The committee will be responsible and follow the established policy to reflect the event or situation.
